At E W Wallace & Co, whilst we can use most accounting software packages, we specialise in Sage accounts

By specialising in the products of one provider we are able to have a thorough knowledge of the products, passing this expertise on to our clients

Sage has a range of accounts products to suit every need

Sage One Accounts - this is a relatively new product which operates on a subscription basis and is online

Sage Instant Accounts is the most popular package used by our clients and is ideal for the small business using software on the desktop - a 2 user version is available

Sage 50 Accounts - this is more suited to the larger business requiring multi user facilities

At E W Wallace & Co we are ideally placed to advise on the accounts package most likely to suit your business - once a package is decided upon we typically get involved in the system design, staff training and taking on of the opening balances

The principal design elements are the Nominal Ledger structure and the Chart of Accounts

The Nominal Ledger is the place where all the transactions of the business are brought together - income, expenses, assets and liabilities. The design of the nominal ledger structure requires a knowledge of the client's business, and it is a key element that the nominal structure is tailored to the business - the most common fault we find is the business user accepting one of Sage's standard nominal structures, which can never be 100% suited to the business in question

The Chart of Accounts uses the various nominal ledger accounts to produce reports, typically the Profit and Loss Account and the Balance Sheet - again these reports are designed very much with the needs of the client's business in mind. Bespoke reports can also be written to assist in the running of the business

Just as importantly, staff training is tailored to the needs and capabilities of the client, such that less assistance would be needed where the client had an experienced book-keeper

The transfer of the balances from the client's existing records can be complex and requires careful planning and control, and this is where our expertise again comes into play

Once we have carried out the initial training, and have supervised the taking on of current data, we typically would make short follow up visits to see that the client was using the Sage system properly and efficiently and to deal with any problems and queries that have arisen

A key follow up visit would involve the procedures relating to the VAT return

We cannot stress highly enough that much more can be achieved with a Sage accounts package if things are set up properly in the first place, and that it is well worth making the investment in the ledger and reports structures and staff training

If the client already has a Sage installation in operation we are ideally placed to review the existing system and procedures, and to recommend any modifications deemed desirable
